Description

The Kingston K-14 School District is looking for an outstanding individual to serve as the Elementary Secretary for the 2024-2025 school year.   

 

TITLE:  Elementary School Secretary 

 

 

JOB GOAL: To ensure the smooth and efficient operation of the school district.

 

TERMS OF EMPLOYMENT: Salary and work year to be in accordance with current pay plan and District policy.

 

EVALUATION: Evaluated annually in accordance with District policy on evaluation of support staff.

 

HOURS OF EMPLOYMENT: 7:00 a.m. to 3:30 p.m. (200 days)

 

                                       

QUALIFICATIONS:

  • High school graduate, some college or post-secondary training is preferred.
  • A minimum of two years of secretarial experience.
  • Possesses typing, word processing, filing, and record-keeping skills.  Knowledge of databases is highly desirable.
  • Shall be neat in appearance, punctual and regular in attendance.
  • Shall maintain a cooperative and pleasant working relationship with other employees, supervisors, students, parents, and visitors.
  • Shall have the ability to use good judgment in all school contacts and communications recognizing the confidential nature of such information.
  • Demonstrates professionalism and maintains confidentiality. 
  • Should demonstrate a high level of enthusiasm, energy, organization, and be able to multi-task.
  • Must be very detailed oriented.  

 

PERFORMANCE RESPONSIBILITIES

 

This list is a sample of the daily responsibilities of someone in this position. These responsibilities may vary depending upon the building or administrative needs.

  • Greets all visitors, staff, and students courteously, determines their needs, checks appointments, and directs them to the proper person.
  • Answers telephone inquiries in a tactful and professional manner.
  • Records and delivers telephone messages via email to teachers, administrators.
  • Performs typing and clerical services as needed including correspondence, reports, forms, etc.
  • Duplicates office materials as requested.
  • Calendar management through Novell and Google systems
  • Coordinating and scheduling substitute teachers
  • Creates spreadsheets, documents, brochures, etc. with Microsoft Office and Google
  • Develops and maintains positive working relationships with adults and students.
  • Opens and sorts the office mail.
  • Monitors the two-way radio during the morning and afternoon bus runs.
  • Uses intercom to let teachers know that students have been signed-out in the office.
  • Enrolls students and enters information into the student information system database.
  • Keeps the discipline module in the student information system database updated.
  • Maintains student files and records.
  • Responsible for keeping accurate and current school attendance records for your building using the student information system.
  • Update student information system database parameters at the start and end of the year.
  • May work with Core Data Reporting.
  • Makes daily calls to parents/guardians on student absentees.
  • Withdraws students from the student information system database using appropriate withdrawal codes, once we receive enrollment request from another school or social worker has done an exit interview on students that drop (16 or older).
  • Prepares various student reports from the SIS database.
  • Prepares the monthly average daily attendance (ADA) report for the Superintendent.
  • Prepares the September and January enrollment analysis report for the Superintendent.
  • May receive and resolve or refer parent complaints.
  • Handles the end of the year checklist for your building.
  • Files student discipline reports and verifies that these are signed by parents. If not returned by student, mails a copy of discipline report to the home.
  • Handles requests for student records from other school districts within 24 hours and give records to the Office Clerk to archive.
  • Assists with the preparation and distribution of building newsletters and calendars.
  • Relieves other secretaries for lunch breaks.
  • Performs other duties as may be assigned by the Administrator.
